Practical pet record guide
How to Share Pet Records With Your Veterinarian
A shareable report should make the timeline easier to read without blurring the line between official records, copied facts, and your own observations.

Direct answer
The simplest useful approach
Share a dated summary that identifies the pet, separates record types, and distinguishes clinic documents from owner-entered observations. Include original records when verification matters and use the clinic's preferred delivery method.
At a glance
- Ask the clinic which records and format it wants.
- Review the pet identity, dates, and current medication information.
- Separate clinic-sourced facts from owner notes.
- Preview the report and remove irrelevant or duplicate entries.
- Send it through the clinic's approved channel and retain your source documents.
Ask what the clinic actually needs
Before creating a large report, ask whether the clinic wants vaccination certificates, medication history, prior lab results, a recent timeline, or another specific document. Sending everything can make the useful information harder to find.
Use the clinic’s approved email, portal, or in-person process. Do not send sensitive information through a channel the clinic has not asked you to use.
Label the source of each kind of information
An official clinic document, a fact copied from that document, and an owner observation are different things. A clear report preserves that distinction.
For example, a dated weight from a clinic invoice can be labeled as clinic-recorded. A home measurement can be labeled as owner-recorded. Both may be useful, but they should not look identical.
Preview before exporting
Check the pet identity, date range, active medications, recent visits, vaccinations, weight entries, and notes. Remove obvious duplicates and irrelevant old details if the clinic requested a focused report.
Dote can preview a report built from the records you entered. PDF export is available with Premium. The export organizes those entries; it does not verify them.
Keep your originals
Sharing a summary does not remove the need to keep vaccination certificates, prescriptions, discharge notes, invoices, or other source documents. A future clinic may need details that were not included in the summary.
How this guide was prepared
This guide focuses on organizing information, not deciding medical care.
- Dote Premium can export a PDF vet report from user-entered records.
- The report preview lets users review the content before export.
